Four phases. Each one ends with something you hold — a document, a passed test, a running service, or a clean way out.

Assess

A fixed-price process-value assessment. You get the measured baseline, the process map, a data and security review, and a deployment proposal — yours to act on, with us or without us.

The price is fixed up front, set by the complexity of the process. The deliverables are the same every time: a measured baseline, a process map, a data and integration assessment, a security review, acceptance criteria, a value classification, and a deployment proposal. If you go ahead with us, the assessment fee is credited against implementation.

Build

A committed go-live date, and an acceptance test that defines “working” before any ongoing fee exists.

The acceptance test is agreed before we build anything. It defines “working” in your terms — real inputs, real volumes, checked outputs. No ongoing fee exists until it passes.

Operate

A fixed monthly fee, derived from value we agree up front. It starts when the acceptance test passes. Hosting, monitoring, support, security, improvement — that’s what the fee buys.

The recurring price is a service bill, not rent. Every line on it is work someone is accountable for.

Managed operation starts from $2,500 per month plus GST. The final fixed fee reflects the agreed value, operating scope, and support requirements — and it begins only after the acceptance test passes.

Review

Reviewed annually against real outcomes. Exit is transparent by design: your data, configuration, and process logic are exportable. We re-earn the fee every year.

The annual review looks at volumes, scope, and realised outcomes. After the twelve-month minimum, notice is 60 days rolling. We are comfortable being easy to leave, because the service is why it keeps working.

How we count value

“The cost stays removed” — counted honestly. Not every saving is the same, and we don’t pretend otherwise. Before anything is priced, every projected benefit is classified: cash cost removed (contractor invoices gone, overtime down, a hire avoided), capacity released (hours freed, but not banked as dollars unless payroll actually falls), and risk or revenue value (fewer errors, faster billing). The fee derives from the value we agree — weighted toward hard dollars first — and you see exactly which class every dollar sits in before you commit.

Deployment and data

Your premises, an Australian-based cloud, or our managed environment. Your business data is hosted in Australia, and we document exactly which services touch it — you’ll see the full data-flow map in your proposal.

Governance

Every engagement carries the same structure: a named service owner accountable for your automation; incident response with defined severities and response targets; a workflow change allowance inside the monthly fee; the annual review against volumes, scope, and realised outcomes; and the exit artefacts — your data, configuration, and process logic, exportable.

If a key person is unavailable

Small and senior cuts both ways, so the safeguards are structural: documented systems; a standing backup and patching cadence; a developer bench beyond the principals; professional and cyber insurance; and the contractual right to export your data, configuration, and process logic at any time. Per-client runbooks and the monitoring estate are commitments the contract carries, delivered as part of the service — not claims we make about today.

How we build

Most of your process won’t run on AI at all. The predictable steps run as fixed, tested software — the same result every time. AI does only the work that genuinely needs judgment, and its output passes checks before anything leaves the system.
